In short
There are two ways. Select the email you received, press Alt+1 and say in a few words what your reply should say; Zack KI drafts it. Or type your reply roughly yourself, select it and press Alt+3. For longer replies, the second way works better, because drafts follow your answer length.

Let Zack KI draft the reply
- Open the email and select the part you are answering, or the whole message.
- Press Alt+1. The email appears as a card labeled “Selection”.
- Type what your reply should say, for example “Thank them, accept the quote, delivery only from week 42.” Press Enter.
- Open your reply in Outlook or Gmail and click into the text field.
- In Zack KI, click “Copy answer” below the draft and paste it with Ctrl+V. If the draft appears as a text block, “Insert” puts it into the reply field directly.
- Read the reply, correct names and dates if needed, and send it yourself.
What should I type so the draft fits?
The selected email gives Zack KI the context: who wrote, what they asked, which dates they mention. Your request adds what only you know, your decision. Name the decision and, if it matters, the tone:
- “Decline politely and offer a call next week.”
- “Confirm the date and ask whether the room has a projector.”
- “Short and friendly: we’ll send the documents on Friday.”
Zack KI writes in the language of your request. If the email is in English and you type your request in German, add “in English”.
How long can a draft be?
A draft that Zack KI writes from scratch follows your “Answer length”. On “Minimal”, that is at most two sentences: enough for “Thanks, Friday works for us. I’ll send the slides by Thursday.”, not for a reply that covers five questions. “Short” and “Normal” allow up to three and four sentences, and Deep allows more.
Rewrites of your own text have no such limit. For a longer reply, type your points in the reply field in rough form, select them and press Alt+3. “Improve” turns them into clear sentences, keeps your points, tone and language, and adds no facts or commitments you did not write. What should I check before sending?
The draft can get a name, a date or a promise wrong, or sound more certain than you are. Read every reply before you send it.
When you send your request, the selected email goes to the model provider so it can write the draft, see what happens to your data.

Can Zack KI send the email for me?
No. Zack KI only writes text. Sending stays with you, in your mail app.
Does it work in Gmail?
Yes. Gmail runs in your browser, and Zack KI reads selected text on web pages and inserts into text fields there.
Can the drafts sound like me?
Yes. Write your preferences under “Settings” → “General” → “Custom instructions”, for example “Use first names. Sign off with ‘Best regards, Anna’.” They apply to drafts you ask for in the chat, not to “Improve” or “Fix errors”. See Personal AI instructions.
Is my email stored on Zack servers?
No. The email goes to the model provider to create the answer. Your chats are stored on your PC.
